Personal Assistant to HR Director – 12 Month FTC
Location: Kingston Upon Thames
Contract: 12 Month Fixed-Term Contract
Salary: Circa £40,000 per annum
Start Date: January 2027
Are you an experienced Personal Assistant looking for a varied and rewarding role supporting a senior HR leader? We are seeking a proactive, highly organised, and professional PA to provide dedicated support to the HR Director on a 12-month fixed-term contract, starting in mid January.
This is a fast-paced position that combines traditional PA responsibilities with involvement in key HR initiatives and projects. You'll play a crucial role in ensuring the smooth running of the HR function while acting as a trusted support to the HR Director.
Exceptional organisational skills are essential. The successful candidate will be highly detail-oriented, able to manage a complex workload, balance multiple priorities, and ensure that everything runs seamlessly in a busy and ever-changing environment.
Job Description
- Proactively managing the HR Director's diary, inbox, travel arrangements, and expenses
- Coordinating meetings, preparing agendas, taking minutes, and following up on actions
- Handling highly confidential and sensitive employee information with absolute discretion
- Supporting the planning and coordination of HR projects and initiatives across the business
- Assisting with recruitment and onboarding activities, including organising interviews and induction schedules
- Preparing reports, presentations, and HR-related documentation
- Coordinating internal communications and HR events where required
- Managing records and ensuring HR documentation is maintained accurately and securely
- Liaising with senior stakeholders across the business on behalf of the HR Director
- Anticipating the needs of the HR Director and proactively ensuring key deadlines and priorities are met
- Providing general administrative support to ensure the efficient operation of the HR function
Qualifications
- Previous experience supporting a Director, Executive, or senior leader as a Personal Assistant or Executive Assistant is essential
- Experience working within or supporting an HR team would be advantageous
- Exceptional organisational skills and attention to detail are essential
- Ability to manage multiple priorities, competing deadlines, and a demanding workload with confidence
- Strong Microsoft Office skills, particularly Outlook, Word, Excel, PowerPoint, and Teams
- Strong planning and coordination skills, with the ability to think ahead and anticipate requirements
- Ability to handle confidential information with discretion and professionalism
- Excellent communication and interpersonal skills
- Proactive, adaptable, and able to work independently
- Professional, approachable, and comfortable working with stakeholders at all levels
